JOB SUMMARY

The purpose of this position is to oversee and ensure a consistent high level of service delivery of integrated facilities management (IFM) services at client¡¯s premises in accordance with account KPI's (Key Performance Indicators). Oversees the performance of workplace experience coordinator and 3rd party suppliers in the areas of operations and maintenance of soft services and hard services, and other facility equipment and systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1.         General Management

l  Manage and develop customer satisfaction, employee services, site operation expense and performance.

l  Manage account program aimed to ensure safety and compliance with both global and local codes and regulations.

l  Execute and develop operational service delivery solutions to include documented playbooks, escalation matrix, and account operation plan/manual in accordance with the agreed scope and schedule and within the outlined budget and forecast.

l  Develop and maintain positive relationship with clients.

l  Manage 3rd party suppliers, contracts and RFP process to ensure best pricing and service level performance.

l  Manage OPEX/CAPEX and ad-hoc projects with operating budget and variance report preparation.

l  Other duties may be assigned as per the agreed scope.

2.        Finance Management

l  Prepare and bill the client invoice on time per agreed timeline.

l  Create and maintain the FM spend tracker in handy.

l  Analyze facility budget development that help to identify areas where can cut costs.

l  Conducts financial and business analysis reports and build next year budget.

3.        Scope of Work and Vendor Management

l  Administrative of integrated management

l  Employee experience including site occupants (new hires / exits) and enhanced recreational services, etc.

l  Food services

l  Office services and in-house reception service

l  Hard service maintenance and repair management (A/C, fire, general office facilities, plumbing, etc.).

l  Cleaning services including periodic cleaning.

l  Security services

l  Manage vendor relationships and train vendors on work order and billing procedures.

l  Evaluate vendors and contractors¡¯ performance and service level.

l  Ad-hoc request support and coordination.

l  Others in-scopes as per the MSA/LCA

SUPERVISORY RESPONSIBILITIES

Manage team and 3rd party supplier on-site employees.

QUALIFICATIONS

l  Bachelor¡¯s degree.

l  Avg 5 years in overall experience, preferably in Facility Management and/or Operations

l  1-3 years in people management position preferred

l  Working experience at Multinational Company preferred

l  Business level of English capability is must (i.e. email, conference call, dialogue).

l  Building client relationships and setting the client expectations

l  Understanding contract and service scope

l  Developing SOPs and training employees and vendors preferred

l  Be proactive, friendly, service oriented and organized personnel

l  Emergency response and attendance are required in the event of an urgent problem in the office.
