Position Overview Executive Assistants at Kimberly-Clark manage access to the executive(s), maintain and modify their schedules, and ensure that the executive(s) are informed of issues requiring immediate attention. They provide a comprehensive range of highly skilled and confidential administrative support to the executive(s), additional team members, and visiting executives as needed. The incumbent must foster strong interpersonal relationships with employees at all levels of the organization, contributing to a collaborative and efficient work environment.
Key Responsibilities
  • Provides a high level of executive administrative skills and support to executive(s). handles confidential business matters and works independently on special assignments. This individual maintains smooth operation of the office administration responsibilities and operates independently in absence of the executive(s). Alerts, assists and advises the executive(s) of any problems arising during their absence.
  • Manages the executive(s)¡¯ calendars, responding to requests for time and rescheduling when necessary. Makes appointments (internal / external), domestic and international travel visa arrangements, assembles packets of information and prepares materials including itineraries.
  • Prepares for department, staff and other meetings and ensure follow through of logistics where required such as creating agendas, preparing any meeting materials and or presentations, scheduling the conference space required, connecting meetings to the required technology, facilitating refreshments and may include managing the budget for these meetings and /or conferences.
  • Drafts non-routine letters, memos, documents, and various reports requiring knowledge of methods, procedures, policies, and organization for executive(s)¡¯ endorsement or signature. This may require familiarity with commonly used business and technical expressions used by assigned function.
  • Manages and submit expense claims, medical insurance claims and follow through of action plans. This may require familiarity with the internal systems, applications and policies in order to process claims accurately and as per policy. May require reconciliation of a corporate credit cards for self and Executive(s), working with managers/supervisors and senior management to ensure the accuracy/timeliness of expense report submission.
  • Ensures Corporate Compliance Policy, Safety and Security Policy are adhered at all times.
Leadership Competencies / Qualifications
  • 8+ years or more administrative support in a corporate environment and supporting executives/Directors
  • Experience arranging travel (domestic & international), meetings, catering, and general office organization
  • Ability to multi-task in a fast-paced environment and manage tight calendars while setting up and managing meetings across different time zones etc.
  • Proficient in Microsoft Office and admin functions with adequate business knowledge and experience
    . Strong written and oral communication skills
  • A demonstrated ability to act independently, organize workload, set priorities, work well under deadline pressures adapt to change, and handle confidential material as well as a strong attention to detail, strong analytical and organization skills
  • Ability and willingness to work overtime on an occasional basis to meet workload demands
  • Ability to exercise independent problem solving and decision making with a high degree of initiative and self- coordination. Comfortable in a changing work environment.
  • Preferably with Private Secretarial Diploma or College diploma (tertiary education). Candidates with proven track records will be considered as well.
  • Previous experience with SAP, Concur is a plus.
