Position Level and Salary

¡¤ Locally Engaged Staff Level 3 with a starting gross salary of KRW 44,479,212 per annum.

Employment period

¡¤ This is a permanent position. The successful applicant will be engaged initially on a 12-month fixed‑term contract, with extension subject to performance. This includes a 3-month probation period.

Standard working hours

¡¤ Monday to Friday, 37.5 hours per week. Non-standard hours worked will be offset by flexible leave time or time off in lieu or overtime payments.

Leave

The Embassy offers generous annual leave provisions, including:

¡¤ Recreation leave: up to 25 days per year (accrued monthly)

¡¤ Personal leave: up to 10 days per year (includes sick leave and carer¡¯s leave)

¡¤ Special leave: up to 5 days per year

Performance Management

¡¤ All staff participate in the Embassy¡¯s Performance Management System. Any increases in salary are dependent on performance-based outcomes.

Relocation/Travel Assistance

¡¤ The Embassy does not offer relocation or travel assistance for this position.

Other Requirements

LES Position Description


About The Department of Defence

The primary role of Defence is to defend Australia and its national interests. In doing so, Defence serves the Government of the day and is accountable to the Commonwealth of Australia, which represents the Australian people to efficiently and effectively carry out the Government¡¯s Defence policy. Australia¡¯s defence policy is founded on the principle of self-reliance in the direct defence of Australia, but with a capacity to do more where there are shared interests with partners and allies.

The Defence section at the Australian Embassy consists of four Australia-based diplomatic staff (A-based) and four Locally Engaged Staff (LES), with other Defence personnel working in the Republic of Korea (ROK) (currently 17). As the Defence relationship between the ROK and Australia grows, the Defence section is supporting an increasing number of projects, visits, exercises, long-term postings and other engagements. 


About the position

Under general direction and as an integral part of the Defence team, the Defence Administration Officer supports the administrative requirements of the section and provides travel, finance and event management support.  The Administration Officer will also provide remote administrative support (through the Defence Office Manager) to the wider Defence team in the ROK



Key responsibilities of the position include but are not limited to:

¡¤  Provide a range of administrative support to the Defence team, including managing correspondence, responding to phone enquiries, managing electronic files, escorting visitors and managing product/service purchases and requisitions.

¡¤  Assist in financial management processes, prepare and process payment requests, and track the allocation and expenditure of funds.

¡¤  Maintain accurate financial records, calculate staff travel allowances and acquit accounts payable as required.

¡¤  Assist with the maintenance of the section task register, management plans and performance reporting.

¡¤  Liaise with a range of internal and external stakeholders to coordinate activities and expenditure.

¡¤  Manage domestic and international travel arrangements, obtain quotes, make payments and maintain electronic travel files.

¡¤  Manage the Defence Asset Register and the maintenance of Defence property.

¡¤  Assist with the planning and coordination of visits, liaison activities and other official representational events.

¡¤  On occasion, provide protocol, liaison and administrative support for events. 


Required Qualifications

¡¤  Highly effective administrative skills and experience, including the ability to undertake financial management activities.

¡¤  Demonstrated problem solving skills and initiative, including the ability to manage conflicting priorities and achieve work goals under pressure and with limited supervision.

¡¤  The ability to work efficiently and effectively as a member of a small team, including proven initiative, cooperation, flexibility and reliability.

¡¤  High-level written and spoken Korean and English communication skills.

¡¤  Computer literacy and experience using the Microsoft Office suite of applications, electronic databases and information management systems to make travel, hotel and other bookings.

¡¤  Well-developed communication and interpersonal skills, including the ability to communicate with senior Defence officers and other internal and external stakeholders at all levels.


Desirable skills

¡¤  Previous experience coordinating, or assisting with, events is desirable.
