¢º ¾÷¹«³»¿ë

1. Administrative Support 
- Maintain and update departmental records, calendars, and schedules. 
- Assist in the preparation of sporting events such as weekend fixtures, sports days and trips.  
- Support PE and Sports staff with data entry, such as attendance, assessment records, and fixture results. 
- Completes purchase request, orders and processes procurement through ERP system 
- Be in attendance for all Saturday and Midweek sports activities as DCSL staff member on site 
- Send out sign-up letters and format all groups once sign-up has closed, building iSams and SchoolsBuddy groups 
- Send attendance sheets to all vendors at the beginning of the term 
- Answer emails from parents regarding queries around sessions and amend sign-up lists based on parental requests 
- Send billing letters to all parents through school system (iSams) after the 2nd week of term begins (in accordance with PIPA laws, outside vendors don't currently have access to parental contact information (email/phone) 
- Communicate to vendors the schedules for each term, ensure that there are adequate security staff and nursing staff on campus for each session
 
2. Communication 
- Liaise with parents, staff, and external organisations regarding PE and Sports related events and information. 
- Draft and distribute departmental communications, including SchoolBox notices, and fixture updates. 
- Act as a point of contact for queries related to PE and Sports schedules, venues, and logistics.
 
3. Sports Fixtures, Events and Trips Coordination 
- Assist in the planning and lead the administration of fixtures, tournaments, domestic and overseas trips, and sports days. 
- This includes but is not limited to, managing finances, consent forms, transportation bookings, accommodation bookings, team sheets, and event timetables. 
- Assist with communication with other schools, venues, and officials.
 
4. Resource and Equipment Management 
- Maintain an accurate inventory of PE and sports equipment. 
- Support ordering, tracking, and maintenance of supplies and kit. 
- Assist with the setup and pack-down of equipment for lessons and events when needed.
 
5. Extra-curricular Programme Support 
- Help coordinate after-school sport, activities, and seasonal sports programmes. 
- Supervise external coaches on campus during late training sessions. 
- Coordinate and supervise Saturday Sports programme on campus. 
- Coordinate and supervise Summer School programmes.
 
6. Health, Safety, and Compliance 
- Ensure documentation such as risk assessments, consent forms, and medical information is properly managed. 
- Support the department in adhering to school policies and procedures relating to health and safety in sport.
 
7. General Support 
- Attend relevant meetings and take minutes when required. 
- Provide general administrative support to the Director of Sport and PE and Sports staff. 
- Be adaptable and proactive in responding to the evolving needs of the department.

- Must: Bachelor's degree and must be proficient in English with strong skills working with Microsoft. 
- Preferred: Degree or diploma in business administration or sports management. First Aid training is a positive.  
- Knowledge & experience required of at least 2 years working in the field of admin support.
